AYS Group needed one system for the full life of a job. We built a bilingual (English/Arabic, full RTL) operations platform: calls and website bookings become priced job cards, flow across a configurable Kanban board, get scheduled with crews, vehicles and equipment, and close with online quotation approval, invoicing, satisfaction surveys and payroll calculated from real attendance. Money in and money out (job-card payments, purchases and payroll payouts) is pushed to a dedicated accounting module through Cloud Functions.
- Many calls are enquiries only, so they had to be logged first and kept off the job board until there is real work to schedule.
- Delays and no-shows on site needed an owner and a reason, and discounts needed clear limits on who may give them.
- Pay rates change with the day and time of work, so payroll had to be worked out from actual attendance.
- A van can only be in one place at a time, and double bookings had to be stopped before they reached a crew.
- Quotations could sit unanswered by clients, and client feedback was scattered.
Calls and website bookings become job cards on a Kanban board whose stages the admin configures. Each stage limits which roles can move cards into it, and a blocked move shows every reason at once.
Jobs are scheduled on a calendar that stops a vehicle being double-booked. Field workers check in and out on site, with their location captured and checked against a geofence, and a late arrival records a reason.
Clients approve quotations online, and an unanswered quotation expires automatically after 24 hours. Invoices take partial payments, and a satisfaction survey follows each job.
Payroll is calculated from attendance, every money-bearing record syncs automatically to the separate AYS accounting system, and alerts arrive as web push in Arabic or English.

- The finished platform went beyond the proposal, adding maintenance contracts with QR-labelled client assets, a fleet registry, procurement, a five-tab reports suite and automatic sync with the AYS accounting system.
- Field workers also gained their own sign-in and My Jobs page; in the proposal, supervisors logged attendance for them.
