Overview

Tahkeem manages the Foundation’s education awards end to end. Applicants register, apply for Local, Gulf and International awards and track their requests in Arabic, English or French. The Foundation’s teams sort applications, assign them to arbitration teams, score them against each award’s evaluation model, run field evaluations and announce results and winners, with every action recorded in an audit log.

The challenge
  • Every award cycle runs in stages (sorting, theoretical evaluation, field evaluation, results), and each stage has its own people, rules and deadlines.
  • Award families score differently: Local and Gulf, International, educational leaders and institutions, and the ALECSO scale.
  • Applicants apply in Arabic, English or French and upload identity and supporting documents that must be checked at volume.
  • Deadlines bring surges of submissions, and every decision has to be traceable afterwards.
  • Years of records in the previous system had to move across without loss.
Our approach

Two Next.js apps, an applicant portal and an admin dashboard, on one design system, with right-to-left handled at the layout level.

A form builder the Foundation controls itself: 14 field types, conditional logic and section scores that add up to each award’s total.

AI checks every upload (names, document numbers, expiry dates, faces and image quality) and clears, flags or rejects it with a reason. People stay in the loop: nothing reaches an applicant without sign-off.

Separate services for sign-in, files, notifications and an append-only audit log, on AWS with infrastructure as code and GitLab CI/CD across development, staging and production.

Form builder

  • Conditional logic and limits per field

  • Preview, and a saved version for every submission

Sorting & judging

  • Head of sorters distributes applications at random or by hand
  • Approve, return or reject with notes and deadlines
  • Arbitration teams and dual committees with team-leader controls
  • A third judge is added when two scores diverge

Evaluation & results

  • Field-visit scheduling, with field scores kept separate
  • Feedback writing with an AI first draft
  • Results, winners and certificates
  • A restricted accountant view with Excel and PDF export

  • Live statistics, calendar and activity feed
